Who is responsible

In Good Order Ltd is responsible for the personal information described in this notice. We are registered in England and Wales under company number 14898406. Our registered office is Flat 25 Adeline Heights, Rosalind Drive, Maidstone, ME14 2FP.

When you visit this website

Our hosting service receives technical information needed to deliver and protect the website. This can include your IP address, browser information, the page requested, time of access and referring page. We use this information to operate the site, investigate faults and prevent abuse, based on our legitimate interest in providing a secure, working website.

The site uses locally hosted fonts, images and video. We have not added advertising pixels, visitor analytics, social media embeds or tracking cookies. The site does not save your enquiry in local storage. Your browser may cache public files to help pages load quickly. Hosting security measures may handle technical information when investigating or blocking suspicious traffic.

When you get in touch

We use the name, email address, company details, support option and message you choose to share to answer your enquiry, discuss your needs and prepare a proposal. Please do not include passwords, bank details, identity documents or payroll records in an initial enquiry.

When you choose Send enquiry, your details pass through our website hosting service to our business email service. Typing into the form does not send your message. If you use a direct email link or the Prepare email option, your chosen email app opens and you review and send the message there; your email provider handles it under its own privacy arrangements.

To protect the form from abuse and repeated submissions, we process your IP address and keep a coded version of it, request identifiers, coded message fingerprints, times and submission status in private server storage. These protection records do not contain your name, email address or message text. They use short rate-limit windows and a 24-hour duplicate-check window; expired entries are removed when the form service is next used. We use these measures for our legitimate interest in operating a secure, reliable enquiry service.

For an enquiry you make on behalf of a business, we rely on our legitimate interest in responding to relevant requests and managing business relationships. Where you ask us to take steps towards a contract with you personally, we may rely on those pre-contract steps. Supplying enquiry information is optional, but we need a way to reply and enough detail to understand your request.

Business contacts and relevant opportunities

We may use professional contact details published with a business enquiry, vacancy, tender or company website to discuss a relevant service opportunity. We use the contact name, role, business contact details and the relevant published request. Our purpose is to respond to that opportunity or make a relevant business introduction, based on our legitimate interest in developing appropriate business relationships.

We do not add enquiry contacts to a marketing mailing list. If you do not want further business development messages, tell us in your reply or email Andrew. We will stop those messages and retain only the details needed to respect your preference.

Who handles information

Access is limited to people and service providers who need the information for the purposes above. These include website hosting, email, IT security and professional advisers where advice is necessary. We may also disclose information when legally required or when necessary to establish, exercise or defend legal claims. We do not sell personal information.

We use Spaceship for website hosting and its Spacemail service for business email. Spaceship is based in the United States and operates internationally. Its data-processing agreement includes contractual safeguards for international transfers. Email may also pass through the sender’s chosen provider. Contact Andrew for details of the providers and safeguards relevant to your information, or a copy of the applicable safeguards.

How long we keep it

We keep enquiry and relationship information for as long as it is needed to respond, follow up an active discussion and maintain a relevant business record. We consider whether the matter is still active, whether a service was agreed, and whether information is needed for legal, accounting or dispute purposes. Information that is no longer needed is deleted or anonymised.

Technical logs are kept according to operational and security needs, including investigating incidents. Client records may need a different retention period, which is addressed in the relevant service arrangements.

Your rights

Depending on the circumstances, you can ask to access your personal information, correct an error, delete information, restrict its use or receive information in a portable format. We may need to verify your identity before responding. Some rights have exceptions, which we will explain if they apply.

We do not use your enquiry information to make solely automated decisions with legal or similarly significant effects. You can raise a concern with us or complain to the Information Commissioner’s Office.

Your right to object

We update this page when the website or the way we handle this information changes. The date at the top shows when this version was last updated.
