Finance systems and bespoke software

I built the CRM used by In Good Order and the dealer management system used by Ashcroft Automotive.

The software is in use. The screenshots show fictional figures and sample records to protect client confidentiality.

These builds are part of my finance systems and process improvement work.

The In Good Order CRM

A proprietary CRM built for IGO’s own sales and client work, from the first enquiry through to an agreed engagement and recurring fees. Andrew and his sales partner have separate views of the same system, with access determined by their responsibilities.

From an enquiry to a client

The client relationship needs more than a contact list. The CRM records who introduced a lead and what happens next, while keeping the approval of new work with Andrew.

It also separates a proposed monthly fee from an actual receipt. Commission follows the recorded payment and its terms, with refunds retained against the original receipt.

Sales follow-up
Lead stages, next actions and linked tasks keep the history alongside the opportunity.
Separate access
Andrew sees the full client book. The sales partner sees the records and commission assigned to them.
Client onboarding
Restricted due-diligence records and a reviewed engagement document sit within the client approval process.
Receipts and commission
Recorded fees, cancellation holds and refund adjustments support the payout calculation. Bank transfers take place separately.

Forecourt for Ashcroft Automotive

A dealer management system built around the records behind a vehicle sale. Forecourt connects stock to its purchase and preparation costs, then carries the vehicle through a proposal, sale and handover.

Keeping the vehicle and its records together

The stock record carries the costs and preparation work behind the car. Sales paperwork links back to that record, including part exchange and money received before collection.

If a sale changes, the original record remains. A credit or vehicle return has its own entries so the later position can be traced back.

Stock and preparation
Vehicle purchases, preparation costs and repair jobs remain attached to the car.
Proposals and sales
Enquiries lead into proposals and invoices, with linked part-exchange purchases.
Deposits and adjustments
Record deposits received, apply them to a sale and retain the history of credits or refunds.
Vehicle handover
Plan collection or delivery, record the release checks and retain an acknowledgement of the handover.

The accounting behind the software

A signed agreement is different from money received. A vehicle’s asking price is different from its margin after purchase and preparation costs. Those distinctions determine how these systems record work and present the figures.

My accounting and operational experience shapes the build: what a record needs to contain, which decisions require approval and what must remain traceable when something changes.
